About the Role
The Accounts Receivable Officer liaise with management in the Front Office, Reservations, Banqueting and Sales and Marketing. The objective of the Accounts Receivable is to maximize the cash flow and the hotel’s GOP.
Key Responsibilities
- Prepare and issue customer invoices accurately and on time.
- Ensure and verify that invoices comply and supported by proper documentation (contracts, correspondence) and follow company policies and procedures.
- Record and monitor incoming payments (bank transfers, cash, cheques, credit cards).
- Follow up with clients on overdue accounts to ensure timely collection.
- Communicate professionally with clients to resolve billing or payment issues.
- Reconcile accounts regularly to ensure accuracy.
- Match payments received with corresponding invoices.
- Investigate and resolve discrepancies or short payments.
- Prepare regular AR aging reports and collection status summaries.
- Provides update to management on outstanding balances and risk accounts.
- Follow-up prepayments to be paid.
- Ensures there is appropriate back-up for each open balance on the City Ledger. Identifies A/R account to where charges are to be billed.
- Collaborates with Sales, Reservations and Front Office to ensure accurate billing.
- Liaise with the Accounts Payable and General Cashier for accurate cash and bank reconciliations.
- Maintain organized and secure records of all invoices, receipts and correspondence.
- Support auditors by providing necessary information.
Requirements
- Bachelor’s degree in accounting or any other related field
- At least 2 years’ previous experiences within a hotel environment in Finance department
- Excellent Knowledge of English Language
- Strong communication and organizational Skills
- Attention to detail
- Ability to compile facts and figures
- Excellent knowledge of MS Office (especially Excel, Word, Outlook)
- Knowledge of Back office or accounting systems
- Knowledge of Hotel Property Management Software
