Job Description
Τhanos Hotels & Resorts is seeking to recruit a PA to the Group Executive Chef in the Anassa Hotel.
The Personal Assistant is responsible for providing administrative support to the Group Executive Chef and the kitchen management team.
This role ensures the smooth flow of information, accurate record-keeping, and effective coordination of daily tasks, contributing to the efficient operation of the hotel’s culinary department and group needs.
Duties & Responsiblities
- Handles the day-to-day administrative work of the department including but not limited to information distribution, special events and requests, E-mail, telephone, and filing.
- Assist with menu updates, formatting and distribution through digitally, electronically and printed, in cooperation with the Executive Chef and according to the FnB weekly restaurant and events operation program and Thanos group.
- Establishes and maintains positive and effective employee and inter-departmental working relationships, motivates a strong team amongst the entire kitchen brigade.
- Coordinates with the kitchen management team all maintenance issues, ensures corrective actions are made, reported and follow up /completion is achieved.
- Maintains and updates weekly staff schedules, day off requests, attendance records and reports are completed and submitted in a timely matter as per standards.
- Updating and reproducing all kitchen SOP’s, recipes and other files concerning kitchen operations throughout the Thanos group.
- Prepare and distribute internal communication, notices, briefings and reports for the kitchen team on behalf of the Executive Chef.
- Provide administrative support in relation to budgeting, cost control, and all required month end reports including transfers and stock taking.
- Arrange internal/external appointments for the Executive Chef and his assistants.
- Keeps an up-to-date hotel Policies and Procedures file and up-dated files on all FnB and essential hotel matters for the Thanos group
- Coordinate training schedules, orientations, introductions, paperwork and administrative requirements for all new and existing team members.
- Liaise with HR, Finance, Purchasing, and other departments to ensure timely completion of administrative tasks.
- Perform other duties as assigned and provide general administrative support to the Executive Chef and senior kitchen management.
- Maintains all documentation regarding HACCP in compliance with hygiene and food safety standards by distributing, checking and filing the monthly paperwork from each department.
- Liaise with the external Laboratories regarding the food sample schedules
- Ensure kitchen order sheets are printed and submitted according to procedures
- Keeps confidential information confidential, strong focus on trust, respect and loyalty.
Requirements
- Previous experience in an administrative, coordinator, or secretary role (hospitality industry experience preferred).
- Knowledge of HACCP and food safety standards will be considered an advantage.
- Excellent organizational skills with strong attention to detail and accuracy.
- Proficiency in MS Office (Word, Excel, Outlook) and comfort with office systems.
- Ability to manage multiple priorities and work to deadlines.
- Ability to work independently, taking initiative to create better productivity.
- Professional communication skills, both written and verbal.
- Discretion and confidentiality in handling sensitive information.
- Fluency in English and Greek languages.
