Job Title: SPA Receptionist at Myrianthousa Spa
Reports to: Head Receptionist and SPA Manager

Responsibilities:

1. Guest Relations and Registration

  • Greet guests with a warm smile and welcoming demeanour upon arrival.

  • Assist with customer/member registration, ensuring smooth and efficient check-in procedures.

  • Collect each guest’s health history, monitor for possible contraindications, and communicate special conditions to the relevant therapist.

2. Reservation and Appointment Management

  • Manage spa treatment bookings and reservations via the spa management system.

  • Ensure all customer details, preferences, and special requests are properly recorded.

3. Customer Service and Care

  • Provide personalized assistance to customers before, during, and after treatments.

  • Address inquiries and concerns professionally to ensure high levels of customer satisfaction.

4. Retail and Upselling

  • Promote spa services and retail products.

  • Provide recommendations for additional treatments, packages, or retail items to enhance the customer experience.

  • Work toward achieving sales targets by upselling spa services and packages.

5. Marketing Support

  • Assist in marketing initiatives by contacting existing and potential customers or members via phone or email to promote spa services and special offers.

6. Cash Handling and Financial Transactions

  • Handle cash transactions responsibly.

  • Maintain an accurate float and ensure proper recording of financial transactions.

7. Software and System Knowledge

  • Maintain a strong understanding of the spa’s reservation software.

  • Input data accurately and troubleshoot minor issues when necessary.

8. Facility Tours and Orientation

  • Provide informative tours of the spa and fitness facilities to new members and visiting guests.

  • Ensure they are familiar with services, membership options, and spa amenities.

9. Therapist Diary Management

  • Monitor appointment schedules of spa therapists.

  • Inform therapists promptly of any changes, cancellations, or additions to their diaries.

10. Operational Support

  • Assist in opening and closing procedures to ensure smooth spa operations.

  • Be aware of upcoming events and functions within the resort that may impact spa services.

11. Spa Cleanliness and Stock Management

  • Ensure reception and spa facilities are clean, tidy, and well-stocked.

  • Assist with restocking clean laundry, organizing changing rooms, and monitoring towels and linens.

12. Monthly Stock Take

  • Assist in monthly stock-taking of retail products.

  • Prepare inventory reports to maintain accurate stock levels.

13. Emergency Procedures

  • Be aware of emergency protocols.

  • Act swiftly when needed, notifying the Duty Manager or Spa Manager of incidents.

14. Customer Interaction and Personalization

  • Provide customers with a personalized experience by addressing them by name.

  • Offer detailed product and service information and tailor recommendations to preferences.

15. Retail Merchandising

  • Maintain clean and attractive retail displays.

  • Ensure products are well-presented, appropriately stocked, and visually appealing to drive sales.

16. Administrative Support

  • Manage spa reception administration, including member renewals, processing payments, maintaining records, and providing detailed handovers at shift end.

17. Professional Presentation

  • Maintain high standards of personal appearance and professionalism.

  • Wear the appropriate uniform and name badge as per company policy.
